Vaultaproof ("the Service") is a subscription platform operated by Vaultaproof Inc. ("the Company"). It helps businesses organize, track, and monitor insurance and compliance documents such as Certificates of Insurance (COIs) and workers comp proof.
By creating an account or using the platform, you agree to these Terms.
2. Eligibility and Acceptable Use
You may use Vaultaproof only for lawful, business-related compliance operations.
- Do not upload PHI or regulated data unless explicitly permitted.
- Do not store illegal content or fraudulent documents.
- Do not attempt unauthorized access to accounts or data that are not yours.
- Do not interfere with or overload the platform.
3. Accounts and Access
You remain responsible for the confidentiality of your login credentials and all activity under your account.
- Ensure authorized users comply with these Terms.
- Confirm you have the right to upload every document.
- Share upload links only with intended recipients.
4. Document Uploads and Data Handling
Vaultaproof processes uploaded documents to extract expiry data, classify records, and generate audit evidence.
You are responsible for verifying document accuracy and remaining compliant.
5. Subscription Plans and Billing
- Monthly or annual subscriptions billed in advance.
- Fees are non-refundable except where required by law.
- Cancellations take effect at the end of the current cycle.
- Pricing changes are communicated in advance.
6. Service Availability
We aim for stable availability but do not guarantee uninterrupted uptime.
Planned maintenance or events beyond our control may cause downtime.
7. Security
We apply administrative and technical safeguards, but no system is perfectly secure.
You must protect your access and review extracted information.
8. Disclaimers
Vaultaproof does not sell insurance or provide legal advice.
We do not guarantee the accuracy of extracted data.
9. Limitation of Liability
Total liability is limited to the fees you paid in the 12 months before a claim.
10. Termination
You may cancel anytime from the dashboard. We may suspend access for violations or unpaid fees.
11. Privacy
Usage is governed by the Vaultaproof Privacy Policy.
12. Data Processing Addendum
A separate DPA is available on request.
13. Governing Law
These Terms are governed by the laws of Delaware, USA.
